This policy explains what personal information TAG Accountancy collects through this website, why we collect it, how long we keep it and what rights you have. It covers this website only. If you are already a client, the engagement letter we issued you also describes how we handle your records.

Who we are

TAG Accountancy Ltd is an accountancy practice based in Norwich, Norfolk, and is the data controller for the information described here. We are registered in England & Wales, company number 14248545, with our registered office at 5 Marlingford Road, Bawburgh, Norwich, NR9 3LU. What we collect through this website

We only collect what you choose to send us. If you complete an enquiry form, we receive:

• your name;
• your email address;
• your telephone number, if you provide one;
• the service you are interested in; and
• anything you write in the message field.

Please do not send us National Insurance numbers, UTRs, bank details or copies of identity documents through the website enquiry form. If we need those to act for you, we will tell you how to send them securely.

Our web server also keeps standard access logs, which include IP addresses, for security and troubleshooting.

Why we use it, and our lawful basis

We use enquiry details to reply to you and, if you decide to proceed, to prepare a fee proposal and set you up as a client. The lawful basis is our legitimate interest in responding to people who contact us, and — once you ask us to act — the performance of a contract with you.

Server logs are kept on the basis of our legitimate interest in keeping the site secure and available.

Who we share it with

We do not sell your information and we do not share it for marketing. We share information only where we need to:

• our website and email hosting providers, who process data on our instructions;
• the accounting and tax software we use to deliver our services, where you become a client;
• HM Revenue & Customs and Companies House, where we file on your behalf; and
• anyone else you specifically ask us to deal with, such as your bank or solicitor.

We may also disclose information where the law requires it, including under anti-money-laundering legislation.

How long we keep it

Enquiries that do not become client relationships are deleted within 12 months. Client records are kept for at least six years after our engagement ends, because tax and anti-money-laundering rules require it. Server logs are held for a short period and then overwritten.

Where your information is held

Our website and email are hosted in the United Kingdom. Where a supplier processes data outside the UK, we make sure appropriate safeguards are in place.

Your rights

You can ask us to give you a copy of the information we hold about you, correct it if it is wrong, delete it where we are not required to keep it, restrict or object to how we use it, or provide it in a portable format. Ask us at office@tag-accountancy.co.uk and we will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you raised it with us first so we can put it right.
