Beyond calculating pay and deductions, a payroll scheme drags in a series of obligations that are easy to overlook. Auto-enrolment pension duties apply from the day your first member of staff qualifies, with re-enrolment every three years and a declaration of compliance to The Pensions Regulator. Statutory payments — sick pay, maternity, paternity — have their own qualifying rules and evidence requirements.

We run payroll on whatever cycle suits you, send payslips to your staff, file the RTI submissions, and tell you exactly what to pay HMRC and when. At year end we handle the final submission and produce P60s. If you provide benefits such as a company car or private medical cover, we deal with the P11D reporting too.

The National Minimum and Living Wage rates change each April and apply by age band, and getting them wrong is one of the few payroll errors HMRC publicises by name. We check your rates against the new bands before each April so nobody drifts below the threshold on a birthday.

If you draw a salary, yes. You need a PAYE scheme and RTI submissions even where the salary is below the threshold at which tax and National Insurance become payable, because it is the reporting that is required rather than the payment.

Most director-only companies pay a salary set around the National Insurance thresholds because it is deductible against corporation tax and preserves a qualifying year for the State Pension. That still needs reporting properly.

You must assess every member of staff on each pay run and automatically enrol anyone aged between 22 and State Pension age earning over £10,000 a year. Minimum contributions are currently 8% of qualifying earnings in total, of which at least 3% must come from you as the employer.

You also have to re-enrol eligible staff who previously opted out roughly every three years and submit a declaration of compliance. We handle the assessment and the pension provider uploads as part of running your payroll.

By the 22nd of the following tax month if you pay electronically, or the 19th if you still pay by post. Small employers whose average monthly liability is under £1,500 can arrange to pay quarterly instead.

HMRC charges monthly penalties for late RTI submissions based on the number of employees, starting at £100 a month for very small employers and rising with headcount. The first late submission in a tax year is usually forgiven.

Late payment of the PAYE itself attracts separate penalties and interest. Because payroll deadlines come round every month rather than once a year, small problems compound quickly, which is the main argument for outsourcing it.
